The problem, then the fix

Sound familiar?

The problems that arrive with the eighth cleaner, and what the product does about each one. Where a feature needs the Business plan, the card says so.

The problem

A cleaner calls in sick at 7am, and I'm phoning each affected cleaner with the new plan.

With Cleaning Operator

Same-day changes land on the right phones. Send a push notification from the office to just the cleaners who need the update.

  • Cleaners → Push Notifications
  • A same-day change reaches the phone
  • Sent from the office to the cleaners who need it

The problem

Business plan and above

Friday afternoons go on copying jobs and hours into a spreadsheet and hoping the totals add up.

With Cleaning Operator

The pay report builds itself, with hours, jobs and pay per cleaner from clocked or booked time. Fix a missed clock-out, then save to lock it.

  • Pay on clocked time, or optionally on the assigned (booked) duration
  • Include or exclude job lines and edit clock-in, clock-out, hours or rate before saving
  • Export PDF, then Save payroll to lock the period as a named run

The problem

Business plan and above

Customers forget we're coming, and the cleaner turns up to a locked door and no one home.

With Cleaning Operator

A text reminder goes out 24 hours before each visit, once Twilio is connected. You write the wording for customers, cleaners and the office separately.

  • Connect Twilio under Settings → Integrations → Twilio
  • Booking reminders go out 24 hours before the visit; that timing is fixed
  • Messages over 160 characters are sent as extra segments and cost more

The problem

Business plan and above

Applications land in my inbox, my texts and my voicemail, and I lose track of who I've interviewed.

With Cleaning Operator

Nobody gets lost between stages. Each applicant's answers, documents, notes and stage history sit in one pipeline, from screening to interview to hired.

  • Recruitment → Applicants: application, interview and details answers, documents, notes and stage history
  • AI review scores appear when AI review is enabled
  • Move applicants through stages such as screening, interview and hired

The problem

Business plan and above

Updating a single page on my website means emailing whoever built it and waiting.

With Cleaning Operator

You edit the site yourself. Add and publish pages, set your logo, colour and phone bar, and point Book now at your booking form.

  • Settings → Website Builder: turn the website on, create pages with a title and URL slug, set the homepage, publish or unpublish
  • Site Settings: primary colour, phone bar, logo, CTA button text and link (for example Book now), footer and social links
  • Show “Powered by Cleaning Operator” can be switched on or off

The problem

The whole office shares my login, so there's no telling who changed what.

With Cleaning Operator

Everyone gets their own login, as Admin or Staff. Change a person's role from their profile, and with locations enabled, keep staff to one service area.

  • Staff can be limited to a service area when locations are enabled
  • Plan limits can cap how many admins and staff you have
  • Open a user to edit profile and role

Which plan does what. Payroll calculates pay from clocked or booked hours, locks each run and sends payslips by email or to the app. It does not file PAYE, National Insurance or RTI, or run pensions; it feeds the statutory payroll you already run. SMS and voice calling run through your own Twilio keys.

Honest answers

Questions growing companies ask.

The questions people ask before they start a trial, answered from what the product does today.

A cleaner is off sick at 7am and the day needs rebuilding. Can the office do that fast?

Yes. The calendar has Day, Week, Month, Week Team, Day Team (horizontal and vertical) and List views; team views are Business and above. Jobs drag to a new time or cleaner, Smart assignment suggests cleaners who are free for the whole duration, recorded absences block assignment, and a push notification goes from the office to just the affected cleaners. Unassigned jobs can be offered to cleaners through Available Jobs, with or without approval.

Is your payroll a replacement for PAYE?

No. Payroll builds a pay report for a date range with hours, jobs and pay per cleaner from clocked time (or optionally booked duration), lets you correct a missed clock-out or edit hours and rate, exports a PDF, saves the period as a locked named run, and sends payslips by email, to the app, or both. Timelogs export as CSV. Nothing in the product covers PAYE, National Insurance, RTI submissions or pensions; it feeds whatever statutory payroll you already run.

Can cleaners pick up spare jobs themselves?

Yes. Cleaners request unassigned jobs from Available Jobs in the app, so nobody races to reply first to a group text. With Require Approval on, the office approves or declines each request under Bookings → Job Requests; with it off, the job is assigned straight away. Conflicting jobs can be hidden.

What does SMS cost?

SMS runs on your own Twilio keys from the Business plan, so the number and the bill are yours and we do not quote Twilio's rates here. Booking reminders go out 24 hours before the visit and that timing is fixed. Messages over 160 characters are sent as extra segments and cost more. Customers can opt out per message type and are then skipped.

What happens when we pass 20 cleaners?

Move up to Enterprise at £199 / $249 a month: 100 cleaner accounts, unlimited office users, unlimited service categories, plus ai assistant, your own domain, data export. Your customers, bookings and cleaners carry across; nothing is rebuilt. If you need more than Enterprise allows, talk to us.
